Incoming Exchange & Visiting Students

Frequently Asked Questions - Incoming Students

I'm arriving late - what should I do?

Please send us an email asap at geo.incoming@ie.edu with your approximate arrival date, with your academic office in copy so we are all informed and can advise you on the appropriate steps to take.

Two of my classes are scheduled at the same time. Is this okay? What should I do?

Minor class clashes (under 20% overlap in the enrollment platform) are allowed, but are usually counted as unexcused absences. Try to minimize the clashes in your schedule. When the day comes, you should inform your professor if you will miss their class and follow up with your academic office with any questions about how this affects your attendance.

What happens if I fail a class/final exam while on exchange?

Please note, the exam re-sit period for ALL students (local and exchange) is in JUNE. There is no exam re-sit period after the Fall semester due to the winter holidays. This will mean students who fail a final exam while on exchange in the fall semester would have to return to Madrid in June if they want to re-sit an exam.

How do I access my IEU email?

You can link via BB Ultra - Institution Page - IE Mail, or else you can enter externally logging in through Google with your IEU credentials.

Where can I check my class schedule?

You can check your final schedule in BB ULTRA – Calendar. Please note that the system might take 1-2 days to update and display your new classes/locations after making enrollment changes so please be patient and contact your academic office if you have any questions.

Do I pay tuition at IE University? Are there any scholarships or financial aid available to me?

If you join IE University as an exchange student, that means that you come through a bilateral partnership between our universities. Therefore you do not pay tuition at IE University but pay your normal tuition at your home university, so any scholarships or financial aid should be requested through them.

Is there anyone available to help me find housing / open a bank account / contract health insurance / figure out the student visa process / get a public transport card or phone card, etc?

For all of these inquiries, please write an email to our Student Services team at ieustudentservices@ie.edu!

I'm sick or need to miss class - what should I do?

Remember, it is your academic office that manages your attendance, so you need to send them an email explaining your situation, and attaching any relevant documentation. You should also notify your professor.

When and how will I receive my final transcript?

For exchange Students, we will email your final transcript directly to your home universities about 8 weeks after the end of the academic semester. Visiting Students will receive their transcript to their IEU email.

When is the last day of classes?

The official last day of the Fall 25 semester is December 18th, 2025 (including final exams). The official end date of the Full Year program will be May 22, 2026 (including final exams).

Are there any resources at IEU to help me with my career or to find an internship/papers here in Spain?

The IEU Talent & Careers department offers career education, advising, event/workshops and online resources to all IEU students. However, IEU cannot sign internship agreements for exchange/visiting students! The Explorer Student Program is purely academic, so any external internships or opportunities need to be found independently or via your home institution.

I'm having a great time at IEU! Can I extend my exchange?

Remember, the exchange process starts at your home university, who must first select and nominate you to IEU for a specific semester, campus, and Bachelor program. Any requests to extend your exchange must come to our office directly from your home university and must be received during our designated nomination period.

What year of study am I considered while at IEU? At my home university I'm in my second year - can I take 3rd or 4th year courses while on exchange?

Please note, incoming students are not assigned a specific year at IEU and are not restricted to just take courses from their year of study. Students usually end up taking courses from a variety of different years as the courses you choose will more importantly depend on the course equivalents at your home university.

IEU Academic Offices + Contact Info

Once you are officially admitted to IE University as an exchange or visiting student, your main point of contact for all academic matters will be your IEU academic office! They manage your courses, syllabi, professors, attendance, grades, exams, etc. Kindly note that the GEO team does not manage academic information and cannot interfere in matters of attendance.

The original IE University campus is located in the historical village of Segovia. The building was founded as a religious convent in 1218, later converted into an orphanage (children and elderly were housed in what are now the student residences) and finally became the first IE campus in 2006. In 2018, the Convent of Santa Cruz la Real celebrated its 800th birthday!
